Case Study: Building a Unified Platform for Projects, Teams & Talent

Overview
In many modern organizations, teams rely on a patchwork of disconnected tools for managing projects, allocating resources, and executing hiring workflows. This leads to inefficiencies, fragmented communication, and limited organizational oversight. We were tasked with designing an integrated platform that streamlines these core operational functions—project management, team resourcing, and hiring processes—into a single, intuitive system.
Problem Statement
Teams across departments often work in silos, using independent tools to manage day-to-day operations:
Project teams use one platform to plan tasks.
HR teams use another to manage resources.
Recruitment processes are handled manually or through third-party tools.
This fragmented ecosystem results in:
Redundant data entry
Delayed decision-making
Low visibility across workflows
Poor coordination during high-volume hiring such as campus drives
Our goal was to create a modular but unified system to simplify operations while supporting flexibility, scalability, and real-time collaboration.
Objectives
Streamline project, resource, and recruitment workflows into one integrated platform
Reduce friction between departments by centralizing communication and planning
Support scalable campus recruitment with batch, slot, and seat management
Enable better decision-making through contextual dashboards and real-time data
Improve team performance, recruitment speed, and operational clarity
UX Design Process
We followed a structured, iterative design process rooted in user-centered design and system thinking.
Discovery & Competitive Analysis
Studied 8+ industry tools across project management (e.g. Jira, Asana), HRMS, and ATS platforms
Identified gaps in cross-functional workflows, especially where recruitment intersects with delivery teams
Conducted stakeholder interviews with project managers, HR leads, and recruiters
Mapped current pain points including tool-switching, manual processes, and lack of visibility
Information Architecture & Journey Mapping
Created personas representing different user roles: project manager, recruiter, HR ops, candidate.
Mapped user journeys across task execution, resource allocation, and interview cycles
Identified key integration points where user actions from one module inform another
Wireframing & Experience Modeling
Created low-fidelity wireframes to explore layouts for dashboards, task boards, candidate tracking, and batch planning
Designed interactive flow diagrams for complex processes like campus drive management
Collaborated across design and engineering to ensure component-level consistency
High-Fidelity Design & Prototyping
Built a scalable design system using atomic principles in Figma
Delivered high-fidelity prototypes for usability testing across modules
Prioritized accessibility and responsive behavior across desktop and tablet interfaces
Usability Testing & Iteration
Conducted remote usability tests with cross-functional users

Batch Planning & Scheduling
